Participant management built around the person, not the paperwork
One record holds the plan, the goals, the care instructions, the consent and the support team. When a worker opens a shift, the instructions they need are already there.
- Scoped access: workers see the participants they support
- Documents and consent stored privately, not on public links
- Progress notes land in the participant's timeline automatically
What sits on a participant record
A provider workspace is built from participant records. Everything a coordinator or support worker needs about a person is in that record, instead of spread across spreadsheets, shared drives and group chats.
- Plan type, plan dates and funding summary as your team records it
- Goals and the day-to-day support instructions a new worker needs
- Consent records and the document library for that participant
- The support team assigned to them, and who may be rostered
- Progress notes and shift history in one running timeline
- Emergency and family contacts alongside the care instructions
Participants and their families do not get a login. The record is your provider's working file, and you decide how it is shared outside the platform.

From first enquiry to a documented shift
The same record follows the participant from intake through to the notes your team writes after each shift.
- 1
Add the participant
Capture plan type, dates, goals and the support instructions that matter day to day.
- 2
Build the support team
Assign the workers who support them. Only those workers can be rostered to that participant.
- 3
Roster and clock the shift
The shift appears on the worker's roster and in their portal for that day.
- 4
File the note
The progress note is written against that shift and stays in the participant's history.
Questions providers ask us
Can every support worker see every participant?
No. Participant records are scoped to the people a worker supports, and coordinators and managers see the provider's full caseload. Access is checked on the server, not just hidden in the menu.
Where are plans, consent forms and documents kept?
Uploaded files are held in private storage and opened through short-lived signed links, so a document cannot be passed around as a public URL.
Does it submit claims or invoices to the NDIA or a plan manager?
No. NDIS Management App is an operational record system. It does not lodge claims or invoices on your behalf, and it is not a plan manager.
Can we run more than one provider from one login?
Each provider is a separate workspace with its own participants, staff and records. An account belongs to one workspace, so one company's data is never mixed with another's.
